Who is responsible

Accounts and service information

We process account, business-profile, billing, support, security and usage records to operate subscriptions and respond to requests. The intended bases are performance of the account contract, applicable legal obligations, and legitimate interests in service security. We are reviewing our processing inventory and retention schedule.

Public records and subscriber feeds

PDH aggregates planning, property and public-procurement records. Sources include council planning registers and data suppliers such as Planit. Records may identify applicants, agents and property addresses. Existing records are available to subscribers through feeds and workspaces; this includes sharing personal information, not just anonymous project data. Subscribers select their own purposes and remain responsible for their own processing and marketing.

We are reviewing the lawful basis, source permissions and individual privacy-notification arrangements for collecting, enriching and supplying these records. The legitimate-interests assessment has not yet been completed. Council contact enrichment and letter PDF export/posting remain available. Outstanding compliance reviews are shown as warnings; recorded postal objections and screening matches are enforced. Public availability does not constitute marketing consent. This notice does not authorise use of a record for marketing or replace any individual notice that is required.

Service providers and retention

Hosting, payments and other service providers may process information to deliver the service. Letter content may be processed by the configured AI writing service when a user requests drafting assistance, or by a mailing provider for an approved mailing. The provider, transfer and retention review is outstanding; we are not claiming a completed transfer assessment or an implemented fixed deletion schedule.

Your choices and rights

You can object to use of your personal information for direct marketing at any time. Contact support@planningdatahub.uk or write to the address above. Tell us enough to locate the record; please do not send identity documents unless requested securely. We also handle requests for access, correction, deletion and restriction, and other applicable data rights. We aim to respond without undue delay and within one month, subject to applicable exceptions and extensions.

PDH keeps a limited suppression record to prevent further postal marketing through its letter workflow. Where data has already been supplied, we must also assess correction, restriction and notification of recipients; a platform block cannot recall previously exported copies. You can complain to the Information Commissioner's Office.

Optional website statistics

With your permission, we use a random first-party browser identifier to remember the public page and broad source category that brought you to Planning Data Hub, such as a search engine or software directory. This helps us understand which pages lead to an enquiry or a first paid subscription. This optional measurement runs on Planning Data Hub; you can use the website without allowing it.

After you opt in, we record a visit and may connect it with a successful acknowledgement from the enquiry form or the first activation of a paid subscription. A form acknowledgement confirms that the form service accepted a submission; it does not confirm that an email was read. We do not include names, email addresses, enquiry messages or other form-field contents in these statistics. We record only public landing-page paths and source categories, not full referring URLs or URL query strings.

Attribution expires exactly 30 days after it is first recorded. Expired browser-attribution records and links are removed during measurement activity and by an hourly cleanup. We remember your allow or decline preference for 180 days. Daily aggregate statistics are retained for 13 months.

You can change your choice or withdraw permission using the Privacy choices button on the website. Withdrawing clears the browser identifier and its attribution links; totals already combined into aggregate statistics remain. We also count first paid subscription activations in aggregate from our billing records when optional statistics are declined or unavailable. These activations have no attributed browser source or landing page. Account and billing records needed to operate your subscription are covered separately above.
